Create and manage a group

  1. Open Explore → Groups and choose Create.
  2. Add a Cover image (optional).
  3. Enter a Group Name and a short description.
  4. Choose a Public group handle, the short name in the group’s web address, such as amsterdam-runners.
  5. Choose a Location: a city, or global if your group isn’t tied to one place.
  6. Create the group.

You become the group’s owner. Group names and handles must be unique. If one is taken, you’ll be asked to choose another.

Every account has a Personal group. It holds the events you host on your own. A Personal group can’t have members. If you try to add members to it, GatherEasy offers to Make public, which turns it into a normal group with a name of your choice.

Owners and admins see a Manage tab on the group page.

Change the Group name, Public group handle, Location, Description and Visibility, then choose Save. You can also change the group’s avatar and cover image from the group page.

Visibility Effect
Public Anyone can find the group in Explore and join it.
Unlisted Not listed in Explore. Anyone with the link can see it and join.
Invite Only People can only join with an invitation.

Defaults for new events created in the group:

  • Event Visibility: Public or Unlisted.
  • Public Guest List: allow guests to view the guest list.
  • Collect Feedback: ask attendees for feedback after events.

Changing these defaults doesn’t affect existing events.

Create Event tags to label the group’s events and Member Tags to label members (for example “volunteer” or “2025 cohort”). Choose Create, then give the tag a Name and a Colour.

Show a live list of the group’s events on your own website. Choose a Theme (Auto, Light or Dark) and a Layout (Card or List), then choose Copy and paste the code into your site.

Each group has a weekly quota for invitations and newsletters, which resets every Monday. Sending limits shows how much you’ve used and what’s left this week.

On the Members tab:

  • Add members: search by profile name or username, pick a Role in the group and choose Add to group. They join straight away. There’s no invitation to accept.
  • Change a role: use the role menu next to a member to make them Admin, Organiser or Member. See roles.

Removing members, approving join requests and inviting people to the group are available through an AI assistant connected to GatherEasy.

Choose Make owner next to a member, then Transfer ownership. They become the owner and you stay on as an admin. Only the new owner can hand it back.

The Insights tab shows how the group is growing. See Group insights.

On the Manage tab, choose Delete group, then Delete permanently. This removes the group and its membership. The group’s events stay as standalone events.
