Sign-in and permissions
Connecting
Section titled “Connecting”When you add GatherEasy to an assistant, or the assistant first needs your account, a GatherEasy page opens in your browser titled Connect assistant name?
- Sign in the same way you do in the app: Continue with Google, Continue with Apple or Email me a sign-in code.
- Review the permissions listed under “This client is asking to”. Check the assistant’s name and the Registered callback address. Only connect a client you recognise.
- Choose Allow access, or Cancel connection to refuse.
The page appears in your browser’s language: English, Dutch or Chinese.
You’re sent back to your assistant, now connected. You never give the assistant your GatherEasy password or sign-in code. It gets its own access, which you can revoke separately.
What the permissions mean
Section titled “What the permissions mean”Read lets the assistant:
- read your profile, events, RSVPs and notifications,
- explore events, venues and groups,
- for events and groups you manage: read guest lists, registration answers, member details, feedback and payment totals.
Write lets the assistant:
- create, update, cancel and delete events you manage,
- manage guests, tickets, staff, refunds and groups,
- change your RSVPs,
- send event announcements, which reach guests by notification and email.
Mail (optional) lets the assistant read, send and organise mail in mailboxes you link inside this connection. Untick it to connect without mail access. See Link an email account.
The assistant can only do what your GatherEasy account can do. It can’t manage someone else’s event or see a group’s payments unless you’re allowed to in the app.
Before you connect: what’s possible without signing in
Section titled “Before you connect: what’s possible without signing in”An assistant can search public events and venues and open public event, group and venue pages without being connected to your account. As soon as you ask for something personal, such as your RSVPs or your events, it asks you to sign in.
Staying connected
Section titled “Staying connected”Your connection stays active for up to 30 days. After that, your assistant asks you to sign in again. Your assistant refreshes access in the background in between, so you don’t need to do anything.
Limits
Section titled “Limits”To keep things fair and safe, each GatherEasy account can make up to 300 requests and 60 changes per minute across all its connected assistants. Sending email has an hourly limit. If you hit a limit, wait a minute and try again.
Disconnect an assistant
Section titled “Disconnect an assistant”Any of these ends an assistant’s access:
- Remove or disconnect GatherEasy in your assistant’s connector or app settings.
- Ask the assistant to “sign out of GatherEasy”. It disconnects itself and has to sign in again to do anything personal.
- From another assistant, ask “list my connected GatherEasy apps” and “disconnect app name”.
Signing out of the GatherEasy website, even Sign Out Everywhere, doesn’t disconnect assistants. Their access is separate.
Seeing what an assistant did
Section titled “Seeing what an assistant did”Actions taken through an assistant are recorded on your account like any other. Ask a connected assistant for “my GatherEasy account activity” to see the most recent actions, including those made through assistants.
